We are not competing for your placements. We make you easier to buy from.
Health Shift Hero is not a staffing agency and not a marketplace trying to disintermediate you. It is the vendor management system (VMS) your facility clients run their workforce on — and it puts your agency in front of that demand, with one standardized way to submit credentials, confirm shifts, and reconcile invoices.
What the platform actually is
Independently owned skilled nursing facilities, assisted living operators, dialysis clinics, and surgery centers are too small for enterprise VMS or managed service provider (MSP) contracts — but they still juggle multiple agencies, credential compliance, and audit risk. Health Shift Hero gives them a self-serve vendor management system to run that pipeline. You are the supplier on the other side of it.
The platform is a neutral technology layer between facilities and agencies. It does not employ clinicians, and it does not decide who fills a shift — the facility does. It is worker-type agnostic: agency-supplied, W2 direct hire, or 1099. When a facility chooses agency labor, they choose you through the same portal they use for everything else.
Why agencies join
Demand access
Get in front of facilities already running their staffing on the platform. When a facility opens coverage to agencies, participating agencies see the request in a shared, standardized workflow instead of a scattered mix of email, fax, and phone.
One credential packet flow
Submit your compliance packet once, in one standardized format — not a different form and a different checklist for every facility. Worker profiles, licenses, and required documents live in a shared credential file the facility can review directly.
Faster confirmations
Compliance is checked automatically before a shift is confirmed. Facility-specific requirement rules and credential-expiry gating run up front, so a worker with an expired credential cannot be confirmed onto a shift — and your coordinator sees the warning before submitting, which means fewer last-minute rejections and fewer surprises for you.
A clean invoice workflow
Statements, line items, and approvals move through one consistent invoice/payment workflow. Because rates and hours are reconciled against confirmed shifts, there are fewer disputes and less back-and-forth to close out a billing period.
An audit trail that protects you too
Every credential check, confirmation, and invoice event is recorded. Your workers are re-screened monthly against the published Office of Inspector General (OIG)/sanctions lists, and a confirmed exclusion blocks placement automatically. A possible name match does not block anyone — the published files carry no Social Security Number, so it goes to a human with the record in front of them, and you see it on the pre-check before you submit a candidate. If a placement is ever questioned, the record shows which published file was screened, on what date, and who signed off — that protects the facility and your agency.
Less admin, more placements
Standardized intake means your coordinators spend less time reformatting packets and chasing missing fields, and more time filling shifts. The optional AI Intake module can pre-parse resumes and flag missing fields for your team to complete.
On AI Intake: the AI Intake & Onboarding module handles packet prep — resume parsing, skills extraction, field mapping, and missing-field flags — and routes documents for proper human completion and signature. It does not complete or file I-9s, tax forms, or other legal documents automatically. A person always reviews and signs.
Bring your own client facilities — their VMS Core is free
You are not only a supplier on someone else's platform. You can invite the facilities you already serve, and their VMS Core costs them nothing — so the pitch to your client is "this is free for you," not "please adopt my vendor's software." They claim an account that already holds the relationship you built, with a contract proposal from your side waiting in it.
Every facility you bring on is one more client running its workforce in a system where your credential packets, confirmations, and invoices already work — and one less client asking you to key data into someone else's portal.
There is no open signup on the platform: an account exists only behind an invite from an existing counterparty. That keeps the network vouched-for in both directions.
Pricing honesty: the 2% is disclosed to everyone
Participating agencies fund VMS Core at 2% of gross billings. That is the whole model, and it is disclosed openly to every facility and agency on the platform. There is no hidden spread, no undisclosed markup on your rates, and no rate arbitrage buried between what the facility sees and what you invoice.
The facility pays $0 for VMS Core. That is deliberate: it removes the procurement barrier that would otherwise stall adoption, which means more facilities running their workforce on the platform — and more standardized demand you can reach. Decision-side incidence is a packaging choice; the economics are transparent either way, and we publish them.
| Who | What they pay for VMS Core | Disclosed to |
|---|---|---|
| Facility | $0 | Everyone |
| Participating agency | 2% of gross billings | Everyone |
VMS Core includes the agency portal, facility portal, worker profile portal, credential file management, the invoice/payment workflow, agency compliance packets, monthly OIG/sanctions re-screening, credential-expiry shift gating, facility-specific requirement rules, and a full audit trail.
Fee transparency. The 2% agency fee on gross billings funds VMS Core and is visible to all parties. If a facility later adds the optional facility-paid Network module ($900/mo), a placement fee applies on hires the facility sources through the platform: 2% of gross wages on a W2 direct hire, capped at the first 460 worked hours (no further fee on that hire after the cap), or 2% of the total shift price on a per-diem/1099 shift, per shift, with no cap. These fees are disclosed and capped as stated — never hidden or obscured.
What this is not
Not a competing agency
Health Shift Hero does not employ or place clinicians. It has no bench to sell against yours.
Not a disintermediation play
It is not a marketplace routing shifts around you to cheaper labor. Facilities keep their agency relationships; the platform standardizes how those relationships run.
Not a payment processor
The platform runs the invoice and approval workflow — statements, audit, and sign-off. It does not move money or promise same-day pay. Settlement stays where it already lives between you and the facility.
The platform holds credential and billing data — worker profiles, licenses, compliance packets, invoices, and audit records. It does not hold patient records.
Join the agency network
If you staff long-tail healthcare facilities and want standardized demand access, one credential packet flow, faster confirmations, and cleaner invoicing, get in touch. Onboarding is self-serve and the 2% is the only agency-side fee for VMS Core.
Pricing figures reflect the current v2 packaging and are subject to confirmation.
